View or Change Team Roles
A team role determines what a user can do within a team. Assign each user one of the following four roles.
| Role | Transcribe | View team files | Edit team files | Manage members |
|---|---|---|---|---|
| Admin role | Yes | All | Yes | Yes |
| Editor role | Yes | All | Yes | No |
| Submitter role | Yes | Files they created only | No | No |
| Viewer role | No | All | No | No |
Migration from the former Member role
The former Member role is now the Editor role. Existing users with the Member role were moved to the Editor role and can continue to transcribe and view or edit team files.
When only one Admin remains
Every team must have at least one user with the Admin role. If only one Admin remains, that user’s role cannot be changed and they cannot be removed from the team. Assign the Admin role to another user first.
The Admin role can also manage team settings and view files before approval. A Submitter can only view files they created, whether the approval workflow is on or off.
View team roles
Open Team Settings. Each user’s current role appears in the member list.
Change a team role
- Open the ⋮ menu for the user.
- Select Edit team role and title.
- Choose one role and select Save.
Approval permission is assigned separately from team roles. In Approval workflow under Team Settings, choose approvers from users with the Admin, Editor, or Submitter role. An Admin cannot approve unless they are explicitly selected as an approver. A Viewer cannot be selected.
See Use the Approval Workflow for details.
Set a team title
You can optionally enter a title such as “Sales Manager” or “Site Supervisor.” A title does not change permissions.
