Create meeting notes templates
When creating meeting notes in mocoVoice, the AI organizes the notes based on a template. Along with the standard templates, you can create custom templates tailored to your company’s meeting rules and workflows.
What you can do with custom templates
- Match company standards: Use the heading names and order you normally use for meeting notes.
- Use different templates for different meetings: Create separate templates for weekly syncs, sales calls, or reports.
- Guide the AI: By providing headings like “Decisions”, “To-Do”, and “Assignee”, you help the AI organize the content better.
Steps
1. Open the meeting notes tab
Click the Meeting notes tab on the transcript screen. You will see a list of standard templates and a button to create a custom template.
2. Start creating a custom template
Click the + New template card under Custom templates. If you already have custom templates, you can select them from this list.
3. Choose a creation method
On the Create a new template screen, choose how to create it.
- Start from scratch: Type headings and items yourself on a blank page.
- Copy an existing template: Duplicate and edit a standard template or an existing custom template.
- Create from photo or PDF: Create a template draft based on an existing meeting note sample or PDF.
In this example, we select Start from scratch.
4. Enter a template name
On the Enter new template name screen, give it a recognizable name. Click Go to editor when you are done.

5. Edit the template
In the editor, type the headings and items you want in your meeting notes. Think of this as creating an outline for how you want the final document to look.
Here is an example of a basic, easy-to-use structure.

## NotesKeep these points in mind when editing:
- Use clear headings: Use names like “Agenda”, “Decisions”, and “To-Do” so the AI knows where to put information.
- Keep it simple: Start with a short template and add items only if needed.
- Use tables: If you need to track assignees and deadlines, format the To-Do section as a table to make it easy to read.
6. Save
When you finish editing, click the blue checkmark in the top right corner. The checkmark might say “Save changes”. Clicking it saves your new template.
7. Use your template
After saving, your new template appears in the Custom templates list in the Meeting notes tab. Select your template to generate meeting notes using that structure.
Tips and important notes
- Make the structure clear to AI: Use headings, bullet points, and tables to help the AI understand what to write where.
- Do not overcomplicate: If you add too many instructions, the output might not be organized as expected.
- Always review the output: Meeting notes created by AI require final review and necessary corrections.
- Assign a reviewer for critical records: AI output is for reference only. The final decision and official record creation must be handled by a responsible professional.
