From organization management

Organization administrators can register voices from the organization user list using the same recording steps. Users do not need to be assigned to a team yet.

Where can the voice be used?

Registration methodAvailable in
Team registration, organization sharing OFFThe team where it was registered
Team registration, organization sharing ONTeams the person belongs to within that organization
Organization managementTeams the person belongs to within that organization

For teams within an organization, Also register with the organization is ON by default after recording. The person must also belong to that organization.

For example, a voice registered with the organization becomes available in the sales team when that person joins it later. Voices are not shared with other organizations.

2. Select speakers for a transcription

Before starting, select participants under Included speakers in the advanced settings. Only registered voices appear as candidates.

Save frequently selected people as your Default speakers in personal settings. These are your own initial selections and can be changed for each transcription.

After registering voices, select speakers in the advanced settings before your next transcription. Manage voices in team or organization settings.

Names are applied when voices match selected people. Unselected, unregistered, or uncertain speakers keep their original speaker labels. Registration alone does not apply a voice to every transcription.

Save regular participants

  1. Click your name at the bottom left.
  2. Under Voiceprints → Default speakers, choose your regular participants.
  3. They will be preselected next time. Change Included speakers in the advanced settings to use a different selection for a particular transcription.

This is your personal setting, stored in this browser separately for each team. It does not change other members’ settings. If Enable voice registration is off, turn it on.

Who can register and delete voices?

ScreenRoleRegister / delete
Team settingsAdministrator or editorYes
Team settingsSubmitter or viewerNo
Organization managementOrganization administratorYes
Organization managementOrganization viewer or memberNo

Team roles govern team settings; organization roles govern organization management. The person whose voice is registered does not need to be an administrator.

Delete or register again

Use Delete in the user list. To replace a voice, delete it and record again.

Deleting an organization voice also makes it unavailable to teams that shared it. This also applies when deleting that voice from team settings.

If registration fails

  • Check that the microphone input meter responds.
  • Record only the person’s voice in a quiet place.
  • Move closer to the microphone if the voice is too quiet, then try again.

Voice matching can make mistakes. Review speaker names after transcription.

The registration recording is deleted after feature extraction. Voice features are retained for matching.
